Our Letting Service for Landlords

We offer two different letting service options to our landlords. Whichever you choose is up to you. Remember, the right service for you will depend on your needs and requirements. What works for someone else might not work for you.

Features available through our Lettings Service 

Some benefits will apply to both our letting service options and will help make managing your rental property easier.  

An improved cashflow 

Many clients use a letting service to help them maintain healthy cash flow. We offer to collect our commission fees every month rather than you having to pay a one-off payment at the beginning of each tenancy, making it easier for you to manage your cashflow.  

Access to Landlords Online  

We also offer complimentary access to ‘Landlords Online’ to all our landlords using our Fully Managed and Rent Collection services. It makes tracking property income and expenses easier and quicker, helping to reduce annual accountancy charges.

Professional photography and floorplans  

Property advertising is not just about exposure. It’s about understanding the psychology of buying and ensuring that adverts, no matter where they appear, continue to pull in new enquiries.  

Bright professional pictures, floor plans showing the size of the property are essential. It’s crucial to ensure that five main areas are covered in an effective property ad:  

  • Where is it?  
  • What’s it like?  
  • How big is it?  
  • How much is it?  
  • How do I view it?  

Preparation of tenancy agreement  

A tenancy agreement is a vital document. At Samuel Estates, we employ the services of Dean Wilson LLP, who are renowned for their expertise in both the commercial and private residential sectors.  

Introductions  

We will provide yourself and your new tenants with each other’s contact details once all parties have signed the agreement.   

Deposit Protection Scheme

Registration of tenancy deposit  

The Housing Act 2004 requires landlords and letting agents to protect deposits on assured shorthold tenancies in a government bonded scheme. We use The Tenancy Deposit Scheme (TDS), which is a government-approved tenancy deposit protection scheme operated by The Dispute Service Ltd. They provide insurance backed tenancy deposit protection with free, impartial dispute resolution.

Organise gas, electrical and legionella certification  

To save you time, we can have all of the following carried out on your behalf before the start of the tenancy.  

  • Ensure the property complies with gas safety (installation and use) regulations 1998 
  • All necessary maintenance to gas appliances and gas pipework through a gas-safety registered engineer 
  • Annual gas safety checks (you must hold gas safety records for a minimum of 2 years) 
  • Make sure the wiring is safe and that any electrical appliances provided are safe to use 
  • Perform a risk assessment for Legionnaire’s Disease 

Organise inventory compilation and check-in  

We arrange for an independent company to compile an Inventory Report, which includes a comprehensive inventory of the contents, fixtures and fittings of your property. These are vitally important if you have to end up deducting funds from your tenant’s deposit.  

Renewals  

Towards the end of the initial fixed term, we will contact you to find out if you would like to renew the tenancy. We will also review the rent and advise you if an increase is possible or desirable depending upon the current market conditions.  

Tenant credit check and referencing  

Our Full Reference includes all the features of a Credit Check, plus full income and previous landlord references. The Income Report verifies multiple sources of income, bonuses, savings, employment contract dates, and a personal declaration as to whether or not their employer finds the applicant honest, reliable, and trustworthy.  

The Previous Tenancy report includes verification of the rent they paid, the condition they left the property in, any arrears, and whether or not the Landlord would re-let to the applicant.  

Let Only and Rent Collection Service 

If you opt for our Let and Rent Collection Service, you’ll also receive an additional feature.  

Rent Collection  

We set up a standing order so the tenant can send rent directly to us. It allows us to keep on top of the rental payments and issue any late payment letters if the rent isn’t paid on time. Rent will be sent to you once we receive cleared funds, less our agreed fees and expenses, into your nominated account.
