Our Rental Process

Start your search to move into your dream property

If you’ve registered your details with us, we’ll notify you of any new properties before we market them on property search engines.

If you like the look of a property, we will look to book you in for a viewing as quickly as possible. Once we’ve scheduled your viewing, we’ll notify you both by email and text.

Making an offer on a property

To put in an offer, you’ll need to fill in a form and provide some basic information to help your prospective landlord decide whether they will accept your offer.

Securing the property

The acceptance of your offer will be subject to contract and receipt of satisfactory references. You may opt to pay a holding fee as a sign of intent. This will typically be the equivalent of one week’s rent.

You must fill in your referencing forms within 48 hours of paying a holding fee. If you don’t, we may put the property back on the market.

If the landlord accepts your offer, the Lettings Consultant will send you an email advising you of what you need to provide to secure the property.

We will send you a draft tenancy agreement to review, and we’ll do our best to answer any questions clearly and quickly.

Right to Rent Documents & Acceptable Identification

We ask all prospective tenant(s) to provide the following documents:

  • Photographic identification
  • Proof of current address
  • Proof of you right to remain in the UK

You must provide these documents before moving in, or else we may not permit you to proceed.

If you decide not to proceed after 14 days of paying a holding fee, fail the credit assessment, or don’t provide satisfactory references, you sacrifice this holding fee. If you do go ahead, the payment will be deducted from the balance due at the start of the tenancy.

Should the landlord decide not to proceed, you will receive a full refund.

You’ll need to provide our tenant referencing agency with:

  • Details of your employer
  • Bank details
  • Contact information for your previous landlord
  • A character reference

Initial Payment

The initial payment will consist of the holding fee (equivalent to 1 weeks rent).

You may make payments via any of the following methods:

  • Direct transfer to our client bank account
  • Bankers draft (payable to Samuel Estates UK Limited)

Contract, Balance of Deposit and First Month’s Rent

At this point, you’ll need to pay the balance of the deposit (which is equal to 5 weeks rent) and the first month’s rent.

The first month’s rent must appear as ‘cleared funds’ in our account at least three working days before the start of the tenancy, or we will push the move-in date back.

Protecting your Deposit

We are a member of the Tenancy Deposit Scheme which safeguards your deposit. It also aims to resolve any dispute over the return of your deposit swiftly, inexpensively and impartially.

Further details are available www.tenancydepositscheme.com

Please be aware the landlord may wish to hold and register the deposit themselves. If this is the case, we will advise you accordingly and provide you with the certificate.

Move-in day

In the build-up to your move, we will upload all of the relevant tenancy documents, to your unique tenant portal.

On move-in day, the Inventory Clerk will make notes of the condition of the property and take the meter readings. Once finished, you will be given the relevant sets of keys to the property.

If you decide not to attend, the Inventory Clerk will return the keys to a Samuel Estates office, for you to collect later.

We’ll then send you the inventory report along with details of the utility providers via email. You have seven days to look over this report and make us aware of any discrepancies. Once we have been advised and agreed on any amendments, we will update the report.

Please be aware that in some instances the landlord may wish to complete and provide an inventory. If this is the case, we will advise you of the process accordingly.

What our customers think

  • Shameem Bhyat

Paul at Samuel Estates has been exceptional. His no-nonsense attitude helped enormously with the sale of my house. At a time when good conveyancers are hard to come by, Paul made great recommendations and facilitated communications with all parties with speed and efficiency, always keeping me in the loop at every stage of the process. It can certainly be challenging when it comes to selling your home but Paul really made the process easy. Thank you so much.

  • Kayley Donnelly

This was the smoothest experience I've had moving to a new flat. Daniel was really helpful and very accommodating when we tried to arrange a second viewing. He was very responsive to emails which I really appreciated, and unlike other agencies I was not harassed with lots of phone calls! Very happy with the flat and the service received.

  • Bel Vita

The worst agency I've ever rented in, they don't care about the tenant's welfare, no repairs are done, they want to hold the tenant responsible for everything, I do not recommend it!

  • David Evans
