Job Title: Property Manager
Reporting to: Head of Property Management
Based at: Streatham office
Salary Range: £28,000 – £32,000 – Depending on experience.

Hours: 9.30am – 6.00pm Monday to Friday (1 Saturday per 6 weeks 9.30am – 4pm) 20 days with an extra day per year of service rising to max 25 days per year after 5 years service all plus bank holidays

Job Purpose: To handle all aspects of managing a rental property Portfolio

Key Responsibilities / Accountabilities / Duties

Your primary role as a Property Manager is to take charge of a client’s investment property. To organise and maintain tenants, reporting to the property owner and managing the property’s finances. To ensure the smooth running and operation of property management including a designated portfolio of managed properties

Key areas to mention could include:

  • Liaise between landlords and tenants where required for property management issues/enquiries
  • Ensure all relevant and applicable legal, compliance and company requirements are met and followed at all times
  • Arranging property inventory check in and check outs
  • View properties when required to investigate issues
  • Undertake pre let inspections
  • Respond to all Property Management emails Carry out property inspections and report issues/problems from each inspection and update the Head of Property Management as and where required and at weekly meetings
  • Record all maintenance issues using the Samuel Estates Fixflo system
  • Assign relevant contractor to rectify the issue or carry out works ordered
  • Ensure external contractors have access to the properties as and when is needed
  • Log and file contractor invoices
  • Pursue outstanding tenant rent arrears, maintaining accurate records, log all calls and file copies of all correspondence
  • Ensure that with each new tenancy property all relevant and important documentation is contained in the property file
  • Organise Gas & Electrical safety inspections Safety and ensure that they have been completed in a timely manner ahead of the expiry date and update on our Client Management System [QUBE]
  • All filing kept up to date
  • Be the first point of contact when answering queries and dealing with complaints from tenants for your property portfolio
  • Escalate relevant information to line manager.
  • Chase up contractors and ensure that maintenance tasks are completed and Fixflo is updated to ensure accurate records are maintained for each issue
  • Ensure that tenants and landlords are kept fully updated on each issue
  • Answer phone calls and take messages for other departments, then forward as appropriate
  • Ensuring that the office is kept tidy and presentable.
  • Provide references for tenants
  • Liaise with contractors to ensure work orders are being issued and worked on and arrange periodic review meetings to discuss processes and procedures and identify improvement opportunities alongside line manger
  • Maintain a positive, productive relationship with tenants

Skills

  • Strong negotiator -In order to keep the property owner and the property tenants happy, an effective property manager must be a strong negotiator to come to an agreement in which all parties are satisfied.
  • Organisational – The multiple responsibilities of a property manager necessitate a manager’s organisational skills. Because managers deal with a variety of paperwork and day-to-day interactions, efficiency and organisation
  • Communication Since property managers serve as a liaison between the property owner and the property tenants, strong communication skills are both necessary and beneficial when on the job
  • Professionalism
  • Strong customer service skills including the desire to meet and exceed tenant expectations.
  • Good working knowledge of building and property maintenance and management

Requirements

  • Proven work experience as Property Manager
  • Fully understanding property management and its financial aspects
  • In depth knowledge of all rules and regulations surrounding property management
  • Competency in MS Office and relevant databases and software (Experience in FixFlo and QUBE an advantage)
  • Customer focus and bottom line orientation
  • Interpersonal savvy with strong communication and presentation skills
  • Well organised with excellent time management skills

Full clean driving licence
ARLA Propertymark Licensed an advantage
